Getting started

How do we get started with Wampums?

Request a demo and we will set up your organization. You can import your existing participants from a CSV file and be running within a day — no technical training required.

Do we need to install an app from the App Store?

No. Wampums is a web app you open directly in your browser (Chrome, Safari, Firefox…) on your phone, tablet, or computer. No download required, no manual updates.

Can we import our existing data?

Yes. Wampums accepts CSV files to import participants, guardians, and users. If you are coming from another system (spreadsheets, SISC, etc.), we can also help you migrate your data.

How long does it take to set up Wampums?

Most groups are up and running within a day. Basic setup — creating your organization, importing participants, and inviting your team — typically takes less than an hour.

Cost and access

How much does Wampums cost?

Wampums is free for scout and youth groups during the early-access period. Contact us at hello@wampums.app for details on future pricing.

Are there any hidden fees?

No. During early access, all features are included at no extra cost. We will let you know well in advance before any pricing changes.

Mobile app and offline use

Does it work on a phone?

Yes. Wampums is designed mobile-first. It automatically adapts to your screen size and works equally well on iPhone and Android, directly from the browser.

Can we use Wampums without an internet connection?

Yes. Attendance and points can be recorded even without internet — for example in a cabin or a basement with no Wi-Fi. Data syncs automatically as soon as your connection is restored.

Can we add Wampums to the phone's home screen?

Yes. Wampums is a Progressive Web App (PWA). On iPhone or Android, you can add it to your home screen from the browser and open it just like a regular app.

Bilingual and languages

Is Wampums truly bilingual?

Yes. Every screen, form, notification, and report is fully available in English and French. This is not a partial translation — both languages are complete and kept up to date.

Can we have members using French and English in the same group?

Absolutely. Each parent or leader sets their own language preference in their profile. The interface and communications appear in each user's chosen language, without you having to send two separate messages.

Can forms be bilingual?

Yes. The built-in form builder lets you write field labels in both English and French. Each parent sees the form in their own language.

Are parent notifications sent in their language?

Yes. Automatic reminders before meetings, announcements, and alerts are sent in each parent's preferred language — with no extra effort on your part.

Attendance, badges, and points

How does attendance tracking work?

At the start of the meeting, open Wampums on your phone and tap once to mark each participant present. You can also add guests. Everything syncs automatically, even if you had no internet at the time.

How does badge tracking work?

You assign badges or honors to each participant through a three-step process: pending, approved, delivered. You can process multiple participants at once with bulk actions. Parents see their child's progress in real time on their dashboard.

How does the points system work?

You award points to individuals or to a whole group. Rankings are visible to leaders, and parents can see their child's points. Everything works offline and syncs once you are connected.

Can parents see their child's progress?

Yes. Each parent has a personal dashboard showing attendance records, badges earned, points accumulated, and upcoming activities for each of their children.

Parent communication

How do we communicate with parents?

Wampums integrates several channels: email, WhatsApp, Google Chat, and push notifications on their phone. You pick the channel that fits the message — general announcement, reminder, or urgent alert.

How do automatic reminders work?

Before each meeting, Wampums automatically sends parents a reminder with activity details (time, location, what to bring), any outstanding permissions, and carpool information — all in each parent's preferred language.

How do permission slips work?

You create a permission form in Wampums and send a secure link to parents. They sign directly from their phone — no printing or scanning needed. You can see in real time who has signed and send reminders to those who haven't with one click.

Can we send messages to a specific sub-group of parents?

Yes. You can target communications by group, role, or mailing list. For example, send a message only to parents of Beavers or only to your leadership team.

Do parents get notifications on their phone?

Yes, if parents opt in to notifications from the app. They then receive instant alerts for meetings, announcements, and important reminders, even when they are not actively using the app.

Logistics and equipment

How does carpool coordination work?

Parents enter how many seats they can offer for an activity. Leaders see all offers and assign participants to vehicles. Each parent then knows exactly who is driving their child.

Can we manage equipment inventory?

Yes. You catalog your equipment (tents, first-aid kits, tools, etc.) with photos and storage locations. Reserve equipment for specific activities and the system automatically flags any booking conflicts.

Can we manage medications for participants?

Yes. Health forms, allergies, emergency contacts, and medications are all centralized. You schedule dispensing windows with timed alerts and log each event for traceability.

Finances and fundraising

Can we manage the group's finances?

Yes. Wampums handles membership fees, expenses, category budgets, and fundraisers. A dashboard consolidates all revenue sources and lets you track spending against your budget throughout the year.

Can parents see their balance?

Yes. Each parent can view their total billed, payments made, and outstanding balance for each child, with a full breakdown of all fees.

Can we run fundraisers (chocolate sales, etc.)?

Yes. Create a fundraising campaign, track sales per participant, and archive completed campaigns. A calendar view helps you plan multiple fundraisers across the year.

Can we set up payment plans?

Yes. You can define fees with installment schedules so families pay in multiple payments on a timeline you set.

Security and privacy

Is my data secure?

Yes. All data is encrypted in transit (HTTPS/TLS) and at rest. Each organization's data is fully isolated — there is no cross-contamination between groups.

Who can see children's information?

Only people you have explicitly granted access to. Wampums uses a role and permission system with over 40 levels of control — you decide exactly who can see or change what.

Is data shared with third parties?

No. Your data belongs to your organization and is never sold or shared with third parties for commercial purposes.

What happens if there is an outage?

Your data is backed up regularly. If you lose your connection, core features (attendance, points) continue to work offline and resync automatically when you are back online.

Organization and management

Does Wampums work for Guides, Cadets, and other youth groups?

Yes. Wampums is built for any youth organization: scouts, guides, cadets, church groups, and community organizations. Forms, roles, and features are fully customizable to match your structure.

Can we manage multiple sections from one account?

Yes. Multi-unit support lets you manage multiple sections (Beavers, Cubs, Scouts, Rovers, etc.) or multiple groups from one account and switch between them seamlessly.

How do we manage roles and permissions?

Wampums offers over 40 granular permissions. You create custom roles (leader, parent, treasurer, volunteer, etc.) and control exactly what each person can see or change in the app.

How does the form builder work?

A visual drag-and-drop editor lets you build custom registration forms, health forms, or permission slips. Add fields, conditional logic (show a field based on a previous answer), and bilingual labels — no technical skills required.

What happens when a leader leaves? Can they hand things over easily?

Yes. All data — meeting plans, attendance history, health records, budgets — is centralized in Wampums. A new leader picks up exactly where the previous one left off, without deciphering someone else's binder or spreadsheets.
